1. Terms
We, us – henceforth refers to “the Nordic Game Jam Organisation and board”.
You – henceforth refers to the person reading this privacy policy, who is of legal age to consent to the text and terms in this privacy policy or their legal guardian.
2. Data Controller
We are the data controller of the personal information that we receive about our customers from Universe, a subsidiary of Ticketmaster Entertainment LLC, which is a subsidiary of Live Nation Entertainment. You may find our contact information below:

3. Background
Our processing of your personal data happens in compliance with Danish privacy law, including the Danish Data Protection Act.
Personal data is any kind of information about an identified or identifiable physical person. This means all types of information which directly or indirectly can be associated with a person. See the General Data Protection Regulation (GDPR) for more information. We have to request your consent to gather what Universe calls “attendee data” in compliance with the parent company’s privacy policy, Ticketmaster Entertainment LLC, which has an opt-in policy preventing the use of personal data for marketing purposes without consent.
4. Reasons For Processing Your Personal Data
We will be processing your personal data for the following reasons:
4.1 When you purchase a ticket
When you use Universe to purchase a ticket or multiple tickets to any of our events, we will gain access to the following personal data, which Universe calls “buyer data”:
First Name: Your first name as it was written when you bought the ticket(s).
Last Name: Your last name as it was written when you bought the ticket(s).
Email: Your email address that you used to buy the ticket(s).
Additionally, as each ticket is bought individually for a specific person, we will also gain access to the following personal data for each person that a ticket was purchased for, which Universe calls “attendee data”:
First Name: The attendee’s first name as it was written when you bought the ticket.
Last Name: The attendee’s last name as it was written when you bought the ticket.
Email: The attendee’s email address that you used to buy the ticket.
As well as some additional non-personal data. If you consent to this privacy policy we will process your personal data and the personal data of all attendees that you purchased tickets for according to Article 6, Paragraph 1.a of the Danish Data Protection Act with the purposes of:
Contacting all attendees directly via the provided email addresses to inform them of important information regarding the Nordic Game Jam event, as long as they are registered as an attendee.
Granting all attendees access to the event, as well as delivering any perks or benefits that were purchased along with the ticket.
Informing catering services at the event of dietary restrictions and allergies of any attendees.
Contacting you and attendees directly via email for the purposes of marketing future Nordic Game Jam events and collecting feedback survey data.
4.2 When you sign up for the Waitlist
When you use Universe’s “Waitlist” functionality to be signed up to a mailing list, so you can be informed about tickets that may become available for purchase, we will gain access to the following personal data which Universe calls “attendee data”:
First Name: Your first name as it was written when you signed up to the event’s waitlist.
Last Name: Your last name as it was written when you signed up to the event’s waitlist.
Email: Your email address that you used to sign up to the event’s waitlist.
As well as some additional non-personal data. If you consent to this privacy policy we will process your personal data according to Article 6, Paragraph 1.a of the Danish Data Protection Act with the specific purpose of giving us the consent to contact you directly via your email address to inform you of available tickets as part of being on the Universe waitlist for the Nordic Game Jam event, as long as you are registered on the waitlist and we have your consent.
5. Third Parties
We will never share, sell or otherwise make your personal data available to any third parties outside of the Universe platform. While we are the designated data controller of the personal data that we receive from Universe about you, Universe itself is also a data controller for your data according to their own privacy policy which you can find here: https://www.universe.com/privacy .
6. Transfer of Personal Data
We do not transfer your personal data to any other party.
7. Countries Outside the EU
We will process your personal data however we make use of Universe as a provider of that personal data and Universe is also individually responsible for your personal data and the processing thereof. We are legally bound to inform you that because we are using Universe as our data provider your personal data may be passed to countries such as the US due to Universe being a subsidiary of Ticketmaster LLC and Live Nation Entertainment. The US is a foreign country outside of the EU and there are special demands for transferring personal data to foreign countries outside of the EU. However, the EU does have provisions that allow us to use data controllers in the US if those data controllers meet the required guarantees in the form of meeting internationally established data safety standards.
8. Data Safety
We process your personal data in compliance with the Danish Data Protection Act and as prescribed by Danish law for the appropriate industry sector.
8.1 Disclaimer
While we do our best to ensure that we follow all rules, regulations and law in regards to processing your personal data, mistakes can happen that are out of our control or simply due to human error.
9. Your Rights
According to the Danish Data Protection Act, you have a set of rights that you may exercise to protect and control your personal data.
9.1 Right to Transparency
You have the right to be informed about what personal data we collect and process as well as additional information that we are given by the Universe platform as described in Section 4.1 and 4.2.
9.2 Right to Corrections
You have the right to have incorrect information about you corrected. If we have collected information about you that is incorrect, we are obliged to change the data we collected and processed to be correct. If this data was provided to us by the Universe platform but with incorrect information then you have to use the Universe platform portal to correct the incorrect information yourself as we do not possess the means to change incorrect information on the Universe platform.
9.3 Right to be Deleted
If we have collected any of your personal data for use within the Nordic Game Jam Organisation, then you have the right to request that it be deleted. Send an email from the email address you used to order tickets or sign up for the waitlist (as described in Section 4.1 and 4.2) to contact@nordicgamejam.com with the subject “Right To Be Deleted” and we will take care of the rest once you get an acknowledgement email from us confirming we will process your request. You will receive the acknowledgement within 14 business days of making the request. If you no longer have access to the email address you used to sign up for the waitlist, then we have to verify that you are who you claim to be, before we can delete your data. Please mention this in the body of the email you send with your deletion request so we may get back to you as soon as we are able and verify your identity. Once a deletion request is acknowledged, you will get an email confirmation within 14 business days of receiving the acknowledgement that lets you know we have deleted the information. Be aware that any information that is on the Universe platform cannot be deleted by us. For that you should contact Universe about the Right To Be Deleted.
9.4 Right to Limit Processing
In some cases you have the right to put limits on how we may process your data – not including storing your data – whereby we need your explicit consent to process your data in specific ways, in cases where national security is at stake or other special conditions apply. If the personal data in question is stored and processed by the Universe platform, then please contact the Universe platform for further inquiry. 9.5 Right to Object
You do not have the right to object to us using your personal data for marketing purposes, as long as that purpose stays specifically within the scope that is described in Section 4.1 and/or 4.2. You may withdraw your consent by refunding your ticket or taking yourself off the waitlist, however this has to happen through the Universe platform and then you can contact us to make a Right To Be Deleted request as described in Section 9.3 in which case we will process your request if we have stored any of your personal data.
